Position Overview:
We are seeking a highly organized and proactive Office Manager to oversee the daily operations of our Budapest office. The ideal candidate will play a crucial role in ensuring smooth administrative processes, supporting project management, and maintaining a productive and welcoming office environment.
Key Responsibilities:
- Office Administration:
- Manage daily office operations, including correspondence, filing systems, and supply inventory.
- Ensure the office is well-maintained, organized, and equipped for efficient functioning.
- Financial Management:
- Handle basic bookkeeping, budget tracking, and expense reporting.
- Liaise with external accountants and ensure timely submission of financial documents.
- Human Resources Support:
- Assist with HR-related tasks, including onboarding new employees, managing contracts, and maintaining personnel records.
- Event Coordination:
- Organize meetings, events, and conferences, both in-person and virtual, including logistics, catering, and communication with participants.
- Communication & Liaison:
- Act as a key point of contact for local and international stakeholders, including donors, partners, and volunteers.
- Manage incoming and outgoing communication, ensuring timely responses.
- Project Support:
- Provide administrative support to various projects and fundraising initiatives.
- Assist in preparing reports, presentations, and promotional materials.
Qualifications and Requirements:
- Bachelor’s degree in Business Administration, Office Management, or a related field (preferred).
- Proven experience in office management, administration, or a similar role (minimum 3 years).
- Strong organizational and multitasking skills with attention to detail.
- Excellent verbal and written communication skills in Hungarian and English (Hebrew is a plus).
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other office management tools.
- Familiarity with basic accounting principles and budget management.
- Ability to work independently and collaboratively in a dynamic, mission-driven environment.
